DEVELOPMENT COORDINATOR 

The Development Coordinator is responsible for facilitating and supporting the efficient operation of the organization’s fundraising activities. 

The Development Coordinator reports to the Director of Development.

Responsibilities 

  • Provides high-level administrative support and assistance to the Development Director and development activities. 
  • Drafts letters, memos, reports, and correspondence on behalf of the Development Director. 
  • Supports the Development Director and their execution of the annual fund development plan and directed giving campaigns.  
  • Coordinates receipt and documentation of in-kind donations. 
  • Records donors and other fundraising data correctly and accurately within the online donor system.  
  • Ensures all donations are acknowledged in writing and generates 501(c)(3)-compliant tax receipts for distribution to donors.  
  • Schedules and coordinates execution of follow-up on all gifts.  
  • Reviews and formats promotional fundraising literature in coordination with the Development Director and other departments, as appropriate and necessary. 
  • Conducts research on potential sources of public and private funding. 
  • Contributes to the grant-making and proposal development processes, including editing, reviewing, and formatting.  
  • Participates in the logistical planning and execution of fundraising campaigns.  
  • Monitors performance measures and other programmatic results in collaboration with other departments.  
  • Responds to and resolves administrative inquiries and questions related to development activities. 
  • Assists with the preparation and formatting of financial, programmatic, and stewardship reports. 
  • Maintains assigned elements of digital filing systems. 
  • Coordinates and schedules travel, meetings, and appointments for development-related activities. 
  • Ensures recency, security, integrity, and confidentiality of data.  
  • Performs other related duties as assigned and requested.  

Qualifications 

  • Education may vary; a degree in a related field is preferred but not required.

DIRECTOR, FINANCE 

The Director of Finance is responsible for providing strategic financial leadership and day-to-day financial management. The Director of Finance oversees financial, budgeting, and operational processes, including payroll and benefits, with a focus on continuous improvement of internal processes.  

The Director of Finance reports to the Deputy Chief Executive Officer and supervises Lead, Coordinator, and/or Intern level staff.   

Responsibilities 

  • Defines and develops VYF’s financial management strategies based on current organizational priorities, in coordination with VYF leadership. 
  • Oversees the development, implementation, and maintenance of financial systems and controls to ensure accurate and timely financial reporting. 
  • Processes bi-weekly payrolls and 403b contributions.  
  • Prepares the annual operating budget in conjunction with the annual operating plan, for approval by the Board of Directors. 
  • Leads the ongoing management of budgets including forecasting, allocation, and monitoring of financial resources. 
  • Leads the preparation of financial reports, including monthly, quarterly, and/or annual statements, for internal and external stakeholders. 
  • Ensures VYF’s compliance with all relevant federal, state, and local financial laws and regulations. 
  • Collaborates with leadership staff to oversee budget management, accounting, and financial reporting.  
  • Collaborates with development and leadership staff to develop budgets for funding and grant proposals.  
  • Ensures proper allocation and tracking of restricted and unrestricted funds and individual donations in compliance with donor restrictions and regulations.  
  • Monitors and manages VYF’s cash flow, banking relationships, and working capital to maintain financial stability. 
  • Supervises, trains, and supports staff involved in financial operations. 
  • Leads the development and implementation of financial policies and procedures to enhance efficiency and effectiveness.  
  • Manages financial risk mitigation strategies, including maintenance of organizational insurance coverage, investments, and safeguarding financial assets.  
  • Serves as authorizing official for all federal grants, to include responsibilities for tracking and reporting on all federal funding.  
  • Represents VYF in financial matters to external stakeholders, such as funding agencies and auditors.  
  • Oversees annual audit, to include procurement of auditing firm and provision of all necessary documentation and reporting.  
  • Liaises with Treasurer of VYF Board to ensure compliance with all financial procedures. 

Qualifications 

  • Education may vary; a master’s degree in business administration (MBA), Accounting, Finance, or a related field is preferred.  
  • Minimum of ten years of experience in a leadership role within a non-profit organization. 
  • Demonstrated experience in developing and managing financial budgets. 
  • Strong analytical skills with proficiency in financial modeling and forecasting. 
  • In-depth knowledge of generally accepted accounting principles (GAAP) and non-profit accounting practices. 
  • Experience with financial software (e.g., QuickBooks or other non-profit accounting systems).  
  • Significant experience with federal grant management, including proposal development, budget management, and reporting. 
  • Ability to creatively solve challenging problems without extensive structural or operational support. 
  • Detail-oriented collaborator capable of taking ownership and initiative.

LEAD, Government Affairs 

The Government Affairs Lead is responsible for supporting the development, implementation, and analysis of state and federal government affairs strategy in alignment with the organization’s strategic goals, mission and vision. This role includes support for direct lobbying, educating policymakers, and training and activating advocates to advance organizational priorities. The Government Affairs Lead reports to the Government Affairs Director. 

Responsibilities 

  • Contributes to the development and execution of a comprehensive, multi-year government affairs strategy by analyzing VYF’s policy positions and priorities. 
  • Monitors and analyzes federal and state legislative action and regulations, including proposed laws, regulations, committee meetings, and administrative actions related to vaccines and vaccine access, providing updates to the Government Affairs Director, as assigned. 
  • Coordinates meetings and communications with local, state, and federal policymakers, including elected, appointed, and administration officials and their advisors, to support vaccine policies and legislative efforts.  
  • Represents VYF at meetings and events in the Government Affairs Director’s absence, effectively communicating VYF’s positions and priorities. 
  • Supports the Government Affairs Director in executing monthly policy calls and other meetings with partners by providing operational, technological, and communications support. 
  • Assists trusted messengers, leadership, staff, and board members in developing presentations, talking points, testimony, and other important messaging. 
  • Assists in the drafting and dissemination of nonpartisan communications and resources by researching and analyzing current and emerging policy issues, including calls to action to inform and activate stakeholders. 
  • Identifies opportunities for grassroots engagement on issues and assists as needed in the execution of advocacy activities including coordinating office visits, action alerts, correspondence, and other activities. 
  • Contributes to the drafting and editing of VYF’s annual State of the ImmUnion report and related state templates. 
  • Responsible for maintaining timeliness and accuracy of policy-related content on VYF’s online portals and website.  
  • Maintains compliance with lobbying industry standards and generates lobbying reports.  
  • Meets regularly with the Government Affairs Director to collaborate on organization-wide activities.  
  • Tracks and gathers metrics and prepares reports and presentations for the Board of Directors and others. 
  • Supports the development of funding proposals and reports.  
  • Performs other related duties as assigned. 

Qualifications 

  • Education may vary; an advanced degree in political science, communications, or public health is preferred, but not required. 
  • At least four to six years of related work experience developing and executing programs to influence policymakers and other external stakeholders at the national and/or state level. 
  • Moderate knowledge of the public health landscape.
