The Development Coordinator is responsible for facilitating the efficient operation of the organization’s fundraising by performing a variety of clerical and administrative tasks.

The Development Coordinator reports to the Director of Development.

Responsibilities

  • Provides high-level administrative support and assistance to the Director of Development and development activities.
  • Drafts letters, memos, reports, and correspondence on behalf of the Director of Development.
  • Supports the Director of Development and their execution of the annual fund development plan and directed giving campaigns.
  • Coordinates receipt and documentation of in-kind donations.
  • Ensures all donations are acknowledged in writing and generates 501(c)(3)-compliant tax receipts for distribution to donors.
  • Reviews and formats fundraising literature in coordination with the Director of Development.
  • Conducts research on potential sources of public and private funding.
  • Contributes to the grant-making and proposal development processes, including editing, review, and formatting.
  • Participates in the logistical planning and execution of fundraising campaigns.
  • Monitors performance measures and other results provided by the Director of Impact and Evaluation.
  • Records donors and other fundraising data correctly and accurately within online donor system.
  • Schedules and coordinates execution of follow-up on all gifts.
  • Responds to and resolves administrative inquiries and questions.
  • Assists with the preparation and formatting of financial and programmatic reports.
  • Maintains assigned elements of virtual filing systems.
  • Coordinates and schedules travel, meetings, and appointments.
  • Edits and formats written resources upon request.
  • Ensures recency, security, integrity, and confidentiality of data.
  • Performs other related duties as assigned.

Qualifications

  • Education may vary; a degree in a related field is preferred, but not required.
  • Excellent organizational and interpersonal skills.
  • Exemplary judgment and keen attention to detail.
  • Strong analytical and problem-solving skills including the ability to prioritize multiple tasks and work efficiently within time constraints.
  • Superior written and oral communication skills.
  • Ability to work both independently, requiring minimal supervision, and to collaborate and work well in a team environment.
  • Experience with:
    • CRM software and applications, g. Every Action
    • Performance management software and applications, g. Monday.com
  • Proficiency with:
    • Microsoft 365 and the Office Suite, particularly Excel and Teams
    • Meeting and video conferencing platforms and software, g. Zoom
  • Passion for the mission and programs of Vaccinate Your Family.

Working Conditions

The essential functions of this job include working from a computer for long periods of time to engaging in regular communication with colleagues and external stakeholders via text, audio, and video conferencing and communication platforms. This position requires periodic travel involving overnight trips. 

Vaccinate Your Family’s headquarters are in Washington, DC, but not all staff reside in the DC area. Remote work is possible and location determinations are made on a case-by-case basis.

Compensation and Benefits

Pay is commensurate with qualifications and ranges from $45,000 to $60,000 a year in addition to a benefits package covering 100% of employee medical, dental, and vision premiums, employer retirement contributions (403b), short- and long-term disability, and generous paid time off, including parental leave.
